Office Manager
Who We Are
Gamble + Design is a full-service interior architecture and design studio known for highly personalized, detail-driven residential projects throughout San Francisco, the Peninsula, Marin, and The Sea Ranch. We are looking for a proactive, organized, and warm Project Coordinator / Office Manager to join our team and help support our studio across all project phases.
This is an excellent role for someone who loves design and project orchestration, is naturally detail-oriented, and enjoys creating exceptional client experiences — but does not want to be a designer. The right person will grow into a Project Manager over time.

Key Responsibilities
Phase One – Project Setup
· Set up new project folders and client portals
· Schedule site measurements, programming meetings, contractor walkthroughs
· Manage client communications and process automations
· Take detailed notes during meetings and upload to Asana
· Create initial budget spreadsheets and coordinate preliminary pricing
· Prepare space plans for HelloSign approval
Phase Two – Design Development
· Schedule and support client design meetings
· Help prepare presentation boards and material samples
· Photograph, label, and file finish selections
· Coordinate with vendors on pricing, lead times, and samples
· Prepare sign-off documents and manage client portal uploads
· Coordinate appliance showroom visits and slab yard visits
Phase Three – Documentation & Procurement
· Create and maintain specification books for furniture, finishes, lighting, hardware, etc.
· Coordinate with vendors, contractors, and receiving warehouses
· Enter and track orders in Studio Designer
· Inspect delivered goods or coordinate inspections with receiving houses
· Track purchasing, freight, and order accuracy
· Prepare installation materials and coordinate delivery logistics
Phase Four – Installation & Closeout
· Manage installation days with receiving and delivery teams
· Troubleshoot on-site issues professionally and efficiently
· Track installation-related payments and updates
· Prepare maintenance binders and conduct final client follow-up
· Support gifting, final touches, and project closeout
Studio & Office Management
· Manage studio calendar and ensure all meetings/site visits are fully prepared
· Answer phones, greet visitors, accept packages, track samples
· Coordinate with landlord on office needs
· Keep the studio organized, stocked, and presentation-ready
· Assist with vendor library updates, returns, and Lunch & Learns
· Support social media and photoshoot logistics as needed
· Maintain our digital libraries (Pinterest, image libraries, vendor contacts)

Requirements
· Prior experience in project coordination in a residential design firm, office management, or operations
· Strong written and verbal communication skills
· Comfortable using digital tools (Asana, Dropbox, Google Suite, Studio Designer a must)
· Ability to be on-site in our SF studio; some Bay Area travel for project meetings and installs
· Professional presence and client-facing comfort
· Ability to lift samples, carry materials, and support installs as needed
Growth Path
This role is designed to grow into a Project Manager position for the right candidate. We invest heavily in training and provide a clear advancement path within the firm.
Hours and Compensation
Full-time or Part-time (28–40 hrs/week, depending on candidate)
On-site role in our Cole Valley location.

Key Responsibilities
Formulate preliminary space plans, design concept studies and sketches that integrate the client's needs and are based on knowledge of the principles of interior design and theories of human behavior; appropriately convey conceptual, functional, life-cycle performance, environmental, and safety requirements.
Research, analysis, coordinate and develop all contract documents including: design presentations, moodboards, 3D Models & Visualization, rendered floorplans and elevations, specifications and drawings, full set of construction drawings, specification packages, custom furniture design and documentation
Prepare specifications and schedules with accurate product information for all millwork, casework, appliances, plumbing, hardware finishes, and accessories
Prepare construction documents, consisting of plans, elevations, details and specifications; reflected ceiling plans and lighting designs; materials and finishes
Performing field visits/measurements and construction administration services including site visits, responding to RFIs, reviewing control samples and shop drawings, coordinating with consultants, manufacturers, and contractors, and completing punch list
Preparation of construction documents to adhere to regional building codes, and any other jurisdictional statutes, regulations and guidelines applicable to the interior space.
Coordination and collaboration with other design professionals who may be retained to provide consulting services, including but not limited to architects, structural, and various specialty consultants
Observation and reporting on the implementation of projects while in progress and upon completion, as a representative of and on behalf of the client; and punch list items.
REQUIREMENTS & CORE COMPETENCIES
Degree in Interior Architecture or Interior Design
Minimum of 3+ years in residential interior design experience
Comprehensive knowledge of the Interior Architecture scopes in residential standards
Excellent presentation skills, including space planning and drawing.
Proficiency in AutoCAD, Adobe InDesign and Photoshop, MS Suite, Sketchup (or similar 3D modeling software), Escape or similar rendering plug-n
Strong experience in management and coordination of construction drawing sets with strong knowledge of construction detailing, materials, methods, fabrication, interior finishes, programing and codes
Experience selecting and specifying cabinetry, stone scopes, appliances, plumbing fixtures, door and cabinetry hardware, materials, and interior finishes.
Must have excellent customer service skills and be comfortable in interfacing with clients, consultants, vendors and internal staff
Ability to field measure and document building conditions
Ability to interact effectively with the design team on multiple projects

This role is designed to grow into a Junior Designer, Intermediate Designergner, Senior Designer position for the right candidate. We invest heavily in training and provide a clear advancement path within the firm.
